04 OPERATING NOTES

The four things a producer actually answers on a first call.

If you've already vetted a few studios, these are the questions that tend to be left open until late. Short answers, in plain language.

Q.01 What's a realistic lead time to produce a flagship conference with us?

For a 500–1,500 attendee B2B flagship, we typically begin 12–16 weeks out. A smaller roadshow or SKO can compress to 6–8. We do not pretend to do a 1,200-attendee summit in four weeks without telling you exactly what we'd cut.

Q.02 Where will you actually fly in for our program?

We have permanent hubs in New York City and Austin, and we deliver across 14 countries through a vetted 200-person freelance crew network. For larger engagements outside North America, we bring a core producing team in from NYC or ATX and hire locally for crew — not the other way around.

Q.03 Can you actually run the hybrid / broadcast side, or is that a partner?

It's us. Our broadcast stack is owned and operated end-to-end — cameras, switching, encoding, lower-thirds, captions, and a producer running the room and the stream on the same call sheet. Third-party audits in Q1 2024 measured latency under 80ms across our standard distribution path.

Q.04 Our compliance team needs HIPAA / SEC / FINRA-aware producers. Can you staff that?

Yes. We maintain a dedicated compliance cell for healthcare and financial-services clients, with HIPAA, SEC, and FINRA-trained producers on staff. We sign your data-handling rider, we route attendee data through approved processors, and we do not use your brief for any kind of marketing follow-up — full stop.
